Steps to Extract Email Addresses from NSF Files (HCL/ IBM/ Lotus Notes) -
Step 1 ) Download and install Regzion NSF Email Address Extractor software and launch it Windows O/S based PC.
Step 2 ) From the main interface, click the "Select NSF" button located in the top menu.
Step 3 ) Choose from two available methods for adding NSF files: -
Single NSF File Conversion
Select the "Single NSF File Extraction" option and click on Next to continue.

Click on the "Select NSF File" or "Search NSF File" button to select the NSF file you wish to process (one file at a time)..
After selecting your file, click on "Start Scanning" to begin the process of loading the data from the NSF file.
Bulk NSF File Conversion
Select the "Bulk NSF File Conversion" option from the available file import methods and click Next to proceed.

Click on the "Add NSF File" or "Add NSF Folder" button to insert multiple NSF files or folders for extraction all at once.
After adding the required NSF files, click the "Start Scanning" button to begin processing the data.
Step 4 ) The software will begin scanning the NSF file, loading all relevant mailbox folders and items for processing.
Step 5 ) Review the loaded items in the preview panel, choose NSF folders for extraction and proceed to extract email addresses and attachments with the steps shown below.
How to Extract Email Addresses from NSF Files Using Regzion Software?
Step 5 ) Choose the NSF folders from which you wish to extract email addresses. Then, click the Extract Email Address button located in the toolbar to begin the extraction process.
Step 6 ) Customize your extraction preferences: -
- Saving Format: - Select one of the four formats (TXT, HTML, CSV, PDF) to save the extracted email addresses.
- Email Filter Criteria: - Specify which fields you want to extract email addresses from—To, From, CC, BCC, Body Content, or choose "All" for extraction from every fields.
- Mail Filter (Optional): - If required, you can limit the extraction to emails within a specific date range.
- Saving Location: - Pick a folder on your computer where the extracted data will be stored.
Step 7 ) Once you’ve configured your settings, click Save button and a new screen will appear with options for how to organize the extracted data.
- Create Single File : - Store all email addresses in a single file.
- Create Create Separate File according to Mail Folder name: - Save email addresses in individual files based on their corresponding NSF mail folder.
After choosing your preferred option, click Continue to begin the extraction process according to your selected settings and format.
How to Extract Attachments from NSF Files Using Regzion Software?
Step 5 ) After adding your NSF data files, choose the mailbox folders that contain items with attachments. Click the Extract Attachments button in the top navigation menu to proceed.
Step 6 ) Set up your attachment extraction preferences: -
- Extract Attachments Folder-wise: - Extract attachments from the selected folders in NSF files. The tool will recreate the folder structure on your local drive and store attachments accordingly.
- Extract Attachments Folder-wise: - Create individual folders for each email or other items and store the attachments within their respective folders.
- Predefined File Extensions: - From a predefined list, choose from common file types like- .PDF, .DOCX, .JPG, etc., to only extract those specific types of attachments.
- Custom File Extensions: - Enter a file extension (e.g., .XLSX, .PNG) to extract attachments of that specific type.
- Mail Filter (Optional): - Set a date range to limit extraction to emails within a specific period. Attachments from emails within that range will be only extracted.
- File Saving Location: - Select the folder on your local drive where the attachments will be saved.

Step 7 ) After finalizing your settings, click on “Save” and the software will begin extracting attachments from NSF based on your selected preferences.
